You do not need rental-management software, a subscription, or a new app to use the Equipment Rental / Peer-to-Peer Tool Borrowing Agreement. It was built for a handover in a driveway or on a job site: a free PDF reader on a phone for the inspections and signatures, and either Excel or Google Sheets back home to keep rental fees, hours, and fuel straight across every rental.
What software opens and edits it
The packet arrives as PDFs and one spreadsheet. The flat printable PDFs — US Letter and A4, plus an ink-friendly black-and-white US Letter version — open in Adobe Acrobat Reader (free), Apple Preview, Apple Files on iPhone and iPad, Files by Google on Android, and most modern web browsers. Use those versions to print a clean packet for renters who prefer paper, or to read and share the forms.
The fillable PDF is the working version. Open it in Adobe Acrobat Reader (free) on your phone, tablet, or desktop and tap-type into every field: the rental snapshot, both condition inspections, the agreement terms, the safety acknowledgment, the during-rental log, and the charges worksheet — 108 fillable fields in all. Save one copy per rental, named for the renter and the equipment, so the going-out and coming-in inspections for that rental always live together.
The Rental Log plus Hour & Fuel Log is an .xlsx file. It works in Microsoft Excel, Google Sheets, Apple Numbers, and LibreOffice Calc. Google Sheets is the easiest free option if you do not own Excel: upload the file to Google Drive, open it as a Sheet, and fee totals calculate per rental, hours used come from the meter readings you enter, and fuel added is tracked per rental. Demo data is included so you can see it working before your first real handover.
What devices it works on
- iPhone and iPad — fillable PDF in Files or Acrobat Reader, ideal for walk-around inspections and photos at handover
- Android phones and tablets — fillable PDF in Acrobat Reader; tracker in Google Sheets
- Windows and Mac desktop — best for reviewing inspections, printing copies for both parties, and checking rental totals
- Any home or office printer — US Letter or A4, color or the included ink-friendly black-and-white version
A practical setup is phone at handover, desktop at home: run both inspections and the signatures on your phone where the equipment is, then log hours, fuel, and fees in the spreadsheet when the rental closes.
What pairs with it
The packet pairs with the handover tools you already have: your phone camera, used with the inspections’ photo prompts so condition pictures match the checklist; a fuel receipt and hour-meter photo at return, which feed the charges worksheet and the Hour & Fuel Log; and a simple key tag or equipment ID that matches the serial number on the Rental Snapshot. [Affiliate slot: equipment asset tags] [Affiliate slot: heavy-duty clipboard folder] It also pairs well with a Change Order Field Authorization when a rental turns into hired work, a Subcontractor Proof & Safety Compliance Sheet, and a Scope-of-Work Contract Template for the jobs the equipment is rented for.
Honest comparison: this packet vs. doing it manually
You can lend on a handshake and a text thread. What you lose is the record. A manual approach has no going-out condition baseline, so every dent becomes an opinion; no signed terms or safety acknowledgment, so expectations live in memory; and no worksheet, so the deposit conversation becomes negotiation instead of math. Full rental platforms can manage fleets and payments, but they charge monthly, are built for rental yards, and are far more than a neighbor-to-neighbor or side-business rental needs — and they still cannot walk your equipment with you. This packet does not insure your equipment, does not replace your state’s or locality’s rental rules, and is not a substitute for checking a renter’s ability to operate the machine safely. Its job is a documented handover both sides signed, with the money settled in the open.
This agreement is a general documentation tool. It is not legal advice, consult an attorney about your situation, your equipment, and your state and local rules.
